What is a Letter Writing?

A letter is an alternative to conversation. This is the same as speaking with a pen.



So, it should be basic in design and natural in tone, as if the author were speaking directly to the speaker.

The objective of a letter is for the author to send a message to the recipient without making any personal contact. So, each letter should be easy, clear, and concise.
The style of the letters should be suiting the person and the subject.

  • It should be respectable for superiors.
  • Humble for inferiors.
  • Familiar with friends.
  • Affectionate for relatives.
  • Simple and playful for children.

It should be strong and effective when discussing a serious topic. Smooth and flowing when discussing a lighter one. Tender and compassionate when mourning. When congratulating, be lively and cheerful.

In professional letters, humility and tact are essential, yet in personal letters, honesty is the most crucial quality.

So, consistent practice is required to understand not just the method but also the art of writing letters.

A few tips on how to write a letter

  • Write down what you're saying. Your letter should be conversational.
  • When writing to friends and family, use a casual tone.
  • When writing to strangers, use a formal tone.
  • Make a suitable start before starting with the actual letter.
  • Write what you want to express briefly and clearly, and don't beat around the bush.
  • Be polite and tactful. Avoid giving offense.
  • Don't say anything uninteresting. Avoid using overused phrases.
  • Always include a date in your letter.
  • A student should use basic and clear language when writing.
  • Correct spelling is important in even the most common types of correspondence.
  • A letter must be readable, grammatically correct, and well spelled.
  • Avoid using poor punctuation. This is often the cause of obscurity.
  • Keep in mind that you don't have an apostrophe (') with yours. Don’t use your’s.

There are 2 types of letters.

  • Informal: For private use, such as among family and friends.
  • Formal: Complaint, Inquiry, Request, and Application Form.

What is an Informal Letter?

Informal or personal letters are written in a casual manner. You can write to cousins, friends, relatives, or siblings.

An Informal Letter

If you have a nice relationship with your formal contacts. You may write an informal letter to them. It is usually for internal audiences.

Different parts of personal letters

1) The Heading

This includes the author's address and the letter's date of writing. It's written on the page's upper left corner. If the address is made up of several parts, each part is given its row; for example,

Keep in mind that the day is written in numbers, the month in words, and the year in full when writing the date. When the year is just before the date, it is preceded by a comma. The following format should be used to write the date:

2nd May 2021 or May 2, 2021, or 20 May 2021

Don’t Write Like 2-5-21

In some countries, 2-5-21 may mean Feb 5, 21 and not 2nd May 21.

2) The Greeting

It's the letter's favorable little greeting to the person to whom it's addressed. It's a proper way to start a letter.

The form of greeting or salutation relies on the relationship and degree of intimacy between the author and the recipient.

3) Body of the Letter

The most significant part of the letter is this section. This usually has three parts.

  • Firstly, an introduction that explains why the letter is being written.
  • Secondly, a message that provides important information.
  • Thirdly, a conclusion that always includes a courteous wish.

Unless it is very brief, it should be well-organized and broken into discrete paragraphs.

4) Subscriptions

This is the leave-taking phrase. This, too, is dependent on the level of closeness between the writer and the addressee. It should be written two spaces after the letter's body. Only the initial letter of the first word should be capitalized, as in,

  • Yours sincerely
  • Yours affectionately
  • Yours faithfully
  • Yours very sincerely
  • Your loving son/daughter/brother

5) Signature

It is written below the subscription; as,

Yours sincerely

6) The outside Address (The superscription).

This is written on the postcard or the envelope. It should be typed properly, legibly, and with care. You may be sure that your letter will reach the addressee without delay if you write the Pin Code.

Remember

1. Do not use any comma (,) after the salutation and subscription.

2. In writing to a lady, use ‘Madam’ in place of ‘Sir’.

3. Do not address as ‘My dear Friend’, ‘My dear younger Brother’. All friends and close relatives, younger than the writer, should be addressed by their first names or pet names.

4. Write the first and the last word of the salutation with a capital letter; as,

  • Dear Friend
  • Dear Suresh
  • My dear Father
  • My dear Suresh

5. Note that there is no apostrophe (’) for yours.

Important

  • While writing a letter in the Board /University examination, don’t write the place of your center, your name, and the name of your school/college.
  • If the name, address, etc. is given in the question itself, follow the instructions and write accordingly.
  • If no specific instruction is given about the writer's or addressee's name and address, you may simply write your address as:

Examination Hall

ABC City

And sign as:

XYZ

What is the Formal Letter Writing?

Formal letters are written to address externally. It is usually for official purposes to authorities or professional contacts. Personal contacts, friends, and relatives are not included. Because they generally stay on record.

The Formal Letter

The correct words and tone must 
be used in a formal letter, and the focus must be on the intent of the correspondence. It should be more formal in situations such as dismissals, promotions, and disciplinary matters. Due to the legal implications.

1) The Heading

This includes the author's address and the letter's date of writing. It's written on the page's top left-hand corner. Date put below the address. It's important in formal letters, as they are kept in the record.

2) Receiver’s Designation & Address

We print the receiver's address on the left side of the page after leaving some space. It's a personal decision to write “To” above the address. As the first line of the address, make sure to include the receiver's official name/ title/ position.

3) The Greeting

This is the part of the letter where you give a salutation/greeting to the recipient.

Remember that the salutation should be respectful and not too personal. “Sir” or “Madam” is the general salutation in the official letters.

You can also use “Mr. ABC” or “Ms. XYZ” as a greeting if you know the person's name. But keep in mind that you can't call them by their first name.

It has to be their whole name or their last name.

4) Subject

The subject of the letter comes after the greeting. Write “Subject” in the middle of the line, followed by a colon.

Then, in one sentence, we describe the letter's purpose. This allows the recipient to focus on the letter's subject in a single glance.

5) Body of the Letter

The letter's purpose should be clear in the paragraph. The content should be formal in tone. Use simple language instead of flowery phrases.

Another thing to remember is that the letter should be shortand to the pointAlso, no matter what the subject of your letter is, use respectful and polite language.

6) Subscription

We write a complimentary losing at the end of your letter. On the left side of the page, the words “Yours Faithfully” or “Yours Sincerely” or” Yours Trulyare printed.

7) Signature

Finally, you sign your name below. Then write your name in block letters beneath your signature. The letter's addressee will be able to see who is sending it.
